Contracts Manager - London and the South East

Position: Contracts Manager - Full-time Permanent

Days of work: Mon-Fri

Hours of work: 8:00am to 5:00pm

Due to continued growth, a Contracts Manager is sought with previous experience and success in managing and delivering multi-disciplinary commercial landscape projects, on time, to specification, and within budget. Contracts in London and the South East range in value from £100K to £4.5 million.

The Role:

Completing contracts on time and to specification.

Ensuring gross margins are maintained on contracts.

Managing sub-contractors and direct labour.

Procuring and managing resources (plant, equipment, and materials).

Delivering contracts in accordance with Health, Safety, Quality, and Environmental standards.

Conducting Safety, Quality, and Environmental audits.

Developing Construction Phase Plans and reviewing RAMS.

Managing programmes of work and maintaining site records.

Communicating effectively with clients and project teams.

Taking a proactive approach to contract delivery by identifying potential problems and proposing solutions.

Presenting monthly progress reports and submitting monthly valuations.

Recording AIs, pricing variations, and managing accounts.

Compiling and recording RFIs and RVIs.

Conducting project reviews at the end of each project.

Job Title: Garden Maintenance Team Leader

Location: London/ Surrey

Salary: £32,000.00 - £36,000.00, depending on experience

We are seeking an experienced Garden Maintenance Team Leader to join our established gardening teams. We have a beautiful portfolio of projects, where excellent attention to detail is key. Our gardens are located throughout Central London, Surrey and the surrounding areas and require the highest level of care. Personal Profile: You must have solid, proven experience and knowledge of managing a team and working in gardens that require the highest level of care and attention to detail and preferably, but not essential, a relevant qualification in gardening or horticulture i.e. RHS or City and Guilds, level one minimum. As a representative of Landscape Associates, each day you will be working together in a team of two - three staff members and responsible for delivering excellent horticultural service and garden aftercare to our clients and on behalf of designers. As a Team Leader, you will be responsible for maintaining, nurturing and developing gardens whereby a proactive, passionate and conscientious attitude and excellent communication and horticultural skills are vital. As well as regularly liaising with clients and designers, you will also report to the Garden Aftercare Manager to provide updates, raise concerns and present action plans, ideas and suggestions to ensure the highest level of service and attention is delivered. To ensure this, you will oversee and work alongside up-to two other gardeners in your team, as well as the wider Garden Maintenance teams. It is key that you are a strong, collaborative team player, proficient at motivating and supporting others, confident and effective in providing direction. Moreover, it is pertinent you’re able to effectively delegate, utilise skills within the team and effectively prioritise to ensure time is used appropriately. Key Management Duties:

• Executing horticultural excellence and garden aftercare service • Communicating with the Garden Aftercare Manager regarding client requests, additional works and providing

feedback and developmental suggestions on gardens • Contribute towards the development and implementation of aftercare programmes and schedules • Managing your team and supporting the wider Garden Aftercare Team • Liaising with clients, designers and suppliers • Monitoring of and reporting on the quality, health and development of gardens • Implementing company Health and Safety documentation and following reporting processes • Organising and managing both yours and your team’s time and resources

Key Horticultural/ Garden Maintenance Duties:

• Lawn care (all aspects: mowing, feeding etc.) • Tending to borders and containers (feeding, staking, weeding, planting) • General and specialised pruning, trimming and cutting using hand and power tools (roses, shrubs, trees etc.) • General watering and management of irrigation systems • Application of chemical and biological control • Management of garden water features (cleaning, checks etc.) • Ground and hard surface clearance (sweeping, cleaning, washing and maintenance of hard surfaces) • Soil management (testing pH and moisture levels, mulching and improving)

Job description : Resource management Responsibiity for overseeing the allocation of manpower, equipment and materials to ensure optimal utilization and efficiency on site. Develop project schedules, workflows and proceedures to streamline operations and maximise productivity

Supply (chain) management Work closely with material suppliers, hired in plant companies, specialist manufacturers, and sub contractors, to ensure timely delivery and minimise cost

Fleet management To ensure all company vehicles are routinely serviced and MOT'd. Ensure daily maintenance checks on company vehiles and hired in vehicles and machinery. Keep an inventory. Insuring hired-in fleet vehicles

Equipment management To ensure all company equpment servicing is kept up to date and safe for use. Keep an inventory of company tools with serial numbers Manage Repairs via agreed suppliers Source quotations for new machinery purchases - to be signed off by a Director. Seek updated cost lists from Hire suppliers to ensure competitive pricing and update estimate template.

Compliance and Risk management Develop and implement policies and proceedures to mitigate risk. Ensure compliance to Health and Safety Regulations on site, in the office and in vehicles. Role to develop as new H&S package is adopted.

Specific roles: Scheduling Scheduling projects, long term and daily. Ensure new projects are entered into long term schedule Produce weekly scehdules for Landscape teams and deligation of individuals to each project. Ensure weekly scehdules for Landscape teams is updated to reflect staff absence / men on site (For cost review by Accounts Team)

Projects Correct allowance of hired in machinery/plant for each project Materials delivered to site on time. Pre ordering of materials where required, to allow for manufacture and delivery Control and organise the deligation of labour to ensure best use of individual skills and general efficiency on site. Ensure all snagging is noted and undertaken Pre project meeting with the foreman constructing each site.

Client Communcation with client prior to start, during and sign off at end of project. Ensure clients are informed of any changes during the project End of week reports for clients 1st point of communication with clients on all matters pertaining to the site. Refer to Project Lead for design enquiries.

Office Assist, when required, with drawing up Invoice Summaries for the Accounts Dept. (Accounts to initiate requirement for invoicing information) Take part in weekly Operations meetings Keep Actions Log, Pre Project, Material Orders, Snagging tabs up to date to keep operations running efficiently. Snagging list to be kept up to date and implemented as soon as possible.

Staff reviews Assist a company Director with staff reviews. Three month review for new starts and annual for long term employees. Keep records of all reviews. Report to company Directors with any specific training / career development requests. Implement as agreed.

Health and Safety Liase with outsourced Health and Saftey advisers. Create a Health and safety policy. Undertake review of current policy for site work, office work and company vehicles. Establish correct procedures and implement. Foremen to assist with implementation on site. Health and Safety Training to be undertaken to achieve at least minimum certification.

You will be required to work outwith these roles at times and work with all departments to ensure the successful operations of the company
